Need more seats than what’s listed? No problem — reach out to us and we’ll put together a custom arrangement that works for your organisation.
Logging In & Setting Up Your Organisation
Once your account is ready, head over to the Members Area and log in. The very first thing you’ll see is a short setup form asking for your organisation or company name. This is a required step — it helps us keep everything properly organised under your account, especially if you’re managing multiple groups or departments.
After you submit that form, the page will refresh and you’ll land on the main dashboard — and this is where things get exciting.
Exploring Industries & Courses in Both Languages
Your dashboard gives you access to a full library of training content organized by industry, available in both English and Spanish. English is selected by default, but switching between languages is just one click away.
Here’s how it works: you’ll see a list of industry categories displayed as expandable sections (we call them accordions). Click on any industry to expand it and reveal all the training topics and courses available within that field. If you personally want to preview a course, simply click on it — you’ll be taken directly to the course page where you can follow along at your own pace.
Quick tip: Take a few minutes to browse the course library before assigning topics to your employees. Knowing what’s available makes the assignment process a whole lot faster.
Adding & Organising Your Employees
The Employee Management page is your control center for building and organising your team inside the platform. Based on the subscription you purchased, you’ll be able to create a set number of employee sub-accounts — and you have two options for how to do it:
1. Add Employees Manually
If you only have a handful of employees to add, you can enter each person’s information one at a time directly through the form on the page. Simple and quick for smaller teams.
2. Bulk Import via File Upload
Got a bigger team? Save yourself the hassle and import all your employees at once using our template import file. Just fill it out and upload — the system handles the rest.
At the bottom of the Employee Management page, you’ll also find a complete overview of your organization: your company name, a full list of all employees, how many sub-accounts your plan includes, and how many you’ve already created. There’s even a search bar so you can quickly find a specific employee if your list starts getting long.
Organising Employees Into Groups
Once your employees are added, the next step is to put them into groups. Think of groups as departments or job categories — for example, “Construction Crew”, “Admin Department”, or “Warehouse Staff”. This structure makes it much easier to assign the right training to the right people.
Creating a group takes just a few seconds:
1. Name Your Group
Give the group a clear, descriptive name that reflects the role or department you’re creating it for.
2. Select Your Employees
Pick the employees you want to include in this group from your employee list.
3. Assign a Language
Choose whether this group will receive training content in English or Spanish. This keeps everything neatly aligned for multilingual teams.
After a group is created, you can view it along with its member list, the assigned language, and options to edit the group, add or remove employees, or delete it entirely. And don’t worry — deleting a group does not delete the employees in it. They stay in your account; they’re just no longer part of that particular group.
Assigning the Right Training to the Right People
Now for the part that ties it all together — actually getting training into your employees’ hands. The Assign Topics page lets you assign specific courses to specific employees in just a few steps. Here’s how the form flows:
Creating a group takes just a few seconds:
1. Select a Group
Start by picking one of your created groups. This filters the next field to only show employees that belong to that group, keeping things organized and mistake-free.
2. Choose Employees
Select individual employees from the group, or hit “Select All” if you want to assign training to everyone in that group at once.
3. Pick an Industry
Select the industry relevant to the training you want to assign. This narrows down the course list to only what’s applicable.
4. Select a Language
Choose whether the training will be delivered in English or Spanish.
4. Select Your Courses
Based on the industry and language you picked, the course list will automatically filter to show only what’s relevant. Select as many courses as you need to assign.
Once you’re happy with your selections, click “Assign Topics” — and the platform takes it from there. Every selected employee will receive an email notifying them of the courses they’ve been assigned. If it’s their first assignment, that email will also include their username and a system-generated password so they can log in right away.
Good to know: Each employee only receives the login credentials once — in their very first assignment email. They can (and should) update their password after logging in via the Account Details page.
Monitoring Enrolment & Course Completion
You don’t have to chase your employees down to find out where they stand — the platform does that for you. At the bottom of the Assign Topics page, there’s an Employees Enrolment Overview section that gives you a bird’s-eye view of your entire team’s training activity.
From this one section you can see every employee, which courses they’re enrolled in, which group they belong to, what they’re currently studying, what’s in progress, and what’s already been completed. It’s everything you need to stay on top of compliance without any guesswork.
What Your Employees See on Their End
When an employee receives their first course assignment email, it’ll contain two important things: the list of courses they’ve been assigned, plus their login credentials (username and a system-generated password). From there, they can log into the platform, navigate to the Account Details page, and set a new password of their choosing.
Once they’re logged in and settled, they can jump straight into their assigned courses and start working through the training at their own pace — with full visibility into what they need to complete.
